Refunds and cancellations
Eligibility, timeframes, and process for refunds on training deposits, sessions, and study circle fees.
Scope
This policy covers payments for the Multi-Timeframe Intensive, Private Chart Review sessions, Weekly Study Circle fees, and related deposits. It does not cover third-party brokerage costs, your own printing, or travel to Suncheon.
Cooling-off and eligibility
If you cancel a confirmed Private Chart Review at least 48 hours before the start time, you receive a full refund of the session fee. Cancellations inside 48 hours are eligible for a one-time reschedule; a second late cancel may forfeit the fee.
For the Multi-Timeframe Intensive, a deposit holds your seat:
- Full refund of deposit if you cancel in writing at least 14 days before session one.
- 50% of deposit returned if you cancel between 13 and 7 days before session one.
- No deposit refund inside 7 days before session one, except where we cancel the cohort.
Tuition balance already paid follows the same date thresholds proportional to the unused sessions if we agree a partial withdrawal after the cohort starts (see “Work already started”).
Weekly Study Circle monthly fees are non-refundable once the month has begun. Cancel before the next billing date to avoid the following month.
Non-refundable items
- Prepared printed chart packs once printing has been ordered for your cohort
- Completed private review time already delivered
- No-shows without notice for private reviews
Work already started
If the intensive has begun and you withdraw, we may refund a portion of unused session fees minus materials already issued, at our reasonable discretion. Sessions already attended are non-refundable.
Rescheduling
Private reviews may be rescheduled once without charge with 48 hours’ notice, subject to available slots. Cohort dates are fixed; missing a session does not entitle you to a private make-up unless we offer an office hour already included.
Deposits and no-shows
Deposits unpaid by the deadline release your seat. No-show for session one without notice forfeits the deposit.
Refund process
Email info@software-optimizers.digital with your name, format booked, payment date, and reason. We confirm eligibility within five business days. Approved refunds are returned via the original payment method within 10 business days of approval (bank timelines may add a few days).
Exceptions
If we cancel a cohort or private slot, you may choose a full refund or transfer to a later date at no extra fee. Force majeure (studio closure, severe weather, instructor illness) may shift dates; refunds apply if a mutually acceptable new date cannot be set within 60 days.
